Visitor Check-In Flow

How visitors check in on arrival — QR codes, host notifications, and access logging.

Venuo’s check-in flow has two phases: pre-arrival preparation and on-arrival scanning.

Pre-arrival: register the visitor

Before your visitor arrives:

  1. Go to VisitorsAdd visitor
  2. Enter:
    • Visitor name and email address
    • Host — the team member they’re visiting
    • Expected arrival — date (and optionally time)
    • Notes — any special instructions for reception
  3. Save — Venuo creates the visitor record and generates a unique QR code You can email the QR code to the visitor to have them show it at reception, or print it for a self-service kiosk.

On arrival: QR scan check-in

When the visitor arrives:

  1. Reception staff open the Venuo Visitors page on a tablet or computer
  2. Click Check in next to the visitor’s name, or scan their QR code using the camera
  3. Venuo marks the visitor as Checked in and logs the timestamp Instant host notification: When the check-in is recorded, Venuo automatically notifies the host:
  • Slack message (if Slack integration is configured) — sent to the host’s Slack DM or a designated channel
  • SMS (if Twilio integration is configured) — sent to the host’s phone number

Access log

Every check-in is recorded in the visitor log with:

  • Visitor name and email
  • Host name
  • Check-in timestamp
  • Check-in method (manual or QR scan) Go to VisitorsLog to search and export the access history.
